Understand the task

Map the steps, task volume, exceptions and time spent. Establish whether the process should be simplified before anything is automated.

Build the workflow

Connect the relevant tools, configure rules and apply AI where it adds value, such as extracting document fields or preparing a draft response.

Test and hand over

Test normal and failure paths. Set up review queues, document recovery steps and train the people who will own the workflow.

Use fixed rules for predictable decisions. Use AI for interpretation or drafting when someone can check the output. Keep consequential decisions, sensitive exceptions and customer commitments with an authorised person. Software access, data restrictions and ongoing maintenance are agreed during scoping.

Bring a description of one task, how often it happens, the tools involved and who owns it. Approximate time spent is useful. Do not send passwords, customer records or confidential documents in an initial enquiry.
